Configuring Change Roles
You can configure the permissions of change roles and new roles under Admin >> Problem/Change Management >> Change Roles.
Role Required: SDAdmin
Add Change Roles
- Click Add.
- Specify a Name for the Change Role.
- You can decide to limit the role's association to:
- All Users: Any user can be associated with the change role.
- Technicians Only: Only technicians belonging change's site can be associated with the change role.
- Site-Group-Technician: Only technicians belonging to the change request's site and group can be associated with the change role.
- Support Group: Only support groups in the change request's site can be associated with the change role.
- Provide a brief description of the change role.
- Set the access permissions across the stages for the change role. The following are the access permissions for the six default stages in the change life cycle.
- View: View permission enables users to view the change request for the selected stage. They cannot perform any further operations.
- Edit: Edit permission enables users to view and edit the change request for the selected stage. They cannot approve/reject a change. In relation to Multi-Level Approval, users with edit permission can edit upcoming approval levels, send approval mail, and delete approval levels/approvals in To be Sent status. Learn more.
- Approve: Approve permission enables the user to view and perform approval actions on the change request in the selected stage. In relation to Multi-Level Approval, users with approve permissions can add approval levels/approvals, edit the current and upcoming approval levels and delete approval levels/approvals in To be Sent status. Learn more.
- You can also provide complete access permission over all the stages by selecting All access permissions check box.
- Click Save.

Users with edit permission for a change stage can edit the fields in the stage anytime if no workflow is associated with a change request.
If a workflow is associated with the change request, users with edit permission for a change stage can edit the fields in the stage only before the stage is crossed.
You cannot configure approval permissions for the approval stage. This permission is set by default only for ChangeApprover and ChangeManager roles.
Edit Change Roles
- On the Change Roles list page, hover over a role and click the
icon.
- Make the necessary edits.
- Click Update.
Delete Change Roles
- On the Change Roles list page, hover over a role and click the
icon.
- Click OK to proceed.
Change Roles such as CAB, Change Manager, Change Owner, Change Requester, Change Approver, and SharedRole cannot be deleted.
